Trip Privacy Notice

The HQR Ski Club is a trading name of DOS & Co. Ltd., which is responsible for the personal data you give us for the trip.

What We Collect

• Your name, email, company, job title and mobile.
• Your passport details, date of birth and frequent flyer numbers.
• Dietary, allergy and medical information, if you choose to give it.
• An emergency contact.
• Bank details for a kitty refund, if one is due.

Why We Use It

To book and run your trip, and to keep you safe on it. We use health information only with your consent, which you can withdraw at any time by clearing those fields.

Who Sees It

• The organisers: everything you give us, to run the trip.
• The on-the-ground trip staff: your dietary, allergy and medical information and your emergency contact.
• The tour operator: your passport, frequent flyer, dietary, allergy and medical information, to book flights, transfers and accommodation.
• Fellow travellers on your trip: your name, company, job title and mobile in the trip directory. You can hide your mobile.

How Long We Keep It

We delete your passport, health, emergency contact and bank details two years after your last trip, and your passport sooner if it expires. We keep your name, email and booking and payment records for six years, because the law requires it. We also keep a sealed copy of the previous HQR Ski app, taken when it closed on 7 Oct 2026, which is not used to run trips.

Your Rights

You can see, correct or delete your information in the app, or ask us at info@hqrski.com. If you are unhappy with how we have used it, you can complain to the Information Commissioner's Office.
